How do I use the wait-list when the customer prefers a new time?

Customers will sometimes want to rearrange their appointment, but will still come at their original time if nothing else comes available.

Example

Jan has an appointment at 9am on Monday.  She would prefer a time on Wednesday afternoon if possible, but at present Wednesday afternoon is fully booked.

  1. Go to the Calendar, click Jan's appointment, and select Edit.
  2. Click on the Wait-list tab.
  3. Select Prefer new time from the Wait-list drop-down.
  4. (optional) If you want to keep track of when Jan went onto the Wait-list you can choose a date in Wait-list since.
  5. In the Wait-list notes enter the information about the new desired time.  In this case we would put something like "Prefers Wednesday afternoon".
  6. Click on [Save].

Important

Because the Prefer New option is used, the appointment remains in the Calendar, and no other appointment can be booked into that time.  This is because with Prefer New we are assuming the customer will still keep their original time if nothing else becomes available.
